# Changing a booking's dates

> Moving, extending or shortening a stay, and what happens to the price.

## Where dates are changed

A booking's dates are changed in the **staff app**, on the booking's edit screen. Once the guest has checked in, only the departure can move. Gridbeds checks availability, blocks and allotments, then saves the new dates and reprices the stay by the rules below.

On the web, a stay's dates and room are changed on the calendar's **Timeline**, by dragging its bar or from its menu — see [Moving and resizing a stay](/en/calendar#moving-and-resizing-a-stay) — and there is **Extend stay**, for an overdue guest, from the [Day close](/en/day-close) screen.

## The price, before you save

As soon as you pick the dates, or change the number of guests, the edit screen shows under the calendar what the change does to the price, worked out the same way the save will do it:

* "Total: \{from} → \{to}", with the amount for the nights added ("for 2 extra nights"), for the nights taken off ("for 1 night less"), "for the moved dates" or "for the change in guests" — and, when the dates and the guests change together, "Of which \{amount} for the change in guests.";
* "The price doesn't change: \{amount}.";
* "The price stays \{amount}", when the booking's terms keep the nights taken off, or an invoice for the stay is already issued;
* "This change can't be saved", with the reason. **Save** stays off until the change can be saved.

If the new price cannot be calculated (no connection, for example), the screen says so; saving still prices the change.

## How the price is recalculated

One rule applies to every date change — extending, shortening or moving:

<AccordionGroup>
  <Accordion title="Kept nights keep their price">
    Every night that stays in the booking keeps its share of the agreed price (the price divided by the number of nights), unless the guests change too (see below). Cleaning and service fees stay.
  </Accordion>

  <Accordion title="Added nights are charged at today's rate">
    A new night is quoted from the booking's own rate plan, at today's price for that date, for the booking's guests — the extra-adult amount for each adult above the room type's base occupancy, each child's age band or the plan's flat fee per child, the infant fee — and with that night's VAT. No second cleaning or service fee is added. The booking's discount (as a percentage) carries onto the new nights. Availability is checked only for the new nights.
  </Accordion>

  <Accordion title="Removed nights come off the bill — with exceptions">
    A removed night comes off the bill with its VAT and discount. Exceptions: on a non-refundable rate and on an OTA booking, the price stays (the channel's terms); once the final invoice is issued, the bill stays as invoiced. A night that merely moved is not a night given back.
  </Accordion>

  <Accordion title="When nights cannot be added">
    Extending is refused, with the reason shown, when: the channel collected the payment ("Make a new booking for the extra nights"); a group block or an allotment contract sets the price; the final invoice is issued; the rate plan is in another currency or no longer on sale; one of the added nights has no price yet.
  </Accordion>

  <Accordion title="When nothing is recalculated">
    If you enter the amounts yourself in the same edit, change the room type too, or the booking is no longer live, the price is not recalculated.
  </Accordion>

  <Accordion title="The number of guests">
    The stay is priced for the guests it will have **after** the edit, and changing only the guests reprices it too. Added nights are quoted for the new party. On the nights the stay keeps, the price moves by the difference between what the new guests and the old ones cost a night on the rate plan today, with its VAT and share of the discount (see [Prices by number of guests](/en/rates#prices-by-number-of-guests)): an adult above the room type's base occupancy adds the plan's extra-adult amount and an adult below it takes off the fewer-adult amount, inside the room price; children and infants change it through the plan's per-night fees, or each child's age band. On a room type with no base occupancy the number of adults does not change the price, and there a plan without children and infant fees leaves the kept nights as they are. The booking keeps the children's ages it was made with while the number of children stays the same; the edit screen does not ask ages, so when the number of children changes, the children are priced at the plan's flat fee per child. A larger party that would cost more is refused when the channel collected the payment, a group block sets the price or an invoice for the stay is issued ("Keep the guests as booked"); in those cases a smaller party leaves the total as it is.
