# Alloggiati Web

> Guest cards to the Questura: credentials, the details to collect at check-in, automatic sending, receipts and what is left to you.

<Note>
  **Status: partial.** Gridbeds sends the guest cards (schedine) to Alloggiati Web on its own at check-in, after checking that every guest's details are complete. It does not count the 24 hours, does not show the outcome on the booking and does not let you download the receipt: for those, use the Polizia di Stato portal.
</Note>

## What the law asks

Whoever provides lodging — hotels, B\&Bs, affittacamere, holiday homes, short lets under 30 days — may host only people carrying an identity document, and must report their details to the Questura through Alloggiati Web **within 24 hours of arrival**, and **within 6 hours** for stays of 24 hours or less (art. 109 TULPS, R.D. 773/1931). The receipt is kept for 5 years. Failing to report is a criminal offence (art. 17 TULPS).

Guests must be identified **in person**: since the Consiglio di Stato's judgment n. 9101 of 21 November 2025, which upheld the Head of Police's circular of 18 November 2024, a purely remote check-in or a key box is not enough, short of a video link that checks in real time that the guest matches the document.

## Before you start

<Steps>
  <Step title="Get credentials from the Questura">
    Alloggiati Web credentials (user, password and the WSKEY for the web service) are issued by the Questura responsible for the property. Gridbeds supports accommodation accounts; "Gestione Appartamenti" accounts covering several apartments are not supported yet.
  </Step>

  <Step title="Enter them in Gridbeds">
    In **Settings → Italy**, on the property's card, section **Compliance credentials**: choose the **Authority** "Alloggiati", fill in `utente`, `password` and `wskey`, and click **Save credentials**.
  </Step>

  <Step title="Check them">
    Click **Test**. The status moves from **Not checked** to **Verified** ("Credentials verified with the authority."). **Until the credentials are verified, Gridbeds sends no cards.** If the authority refuses them, "The authority refused these credentials." appears with the reason.
  </Step>
</Steps>

Transmissions also have to be switched on for your organization: see [Obligations in Italy](/en/compliance/italy).

## Guests' details

For a property in Italy, check-in is blocked until the details of **every** guest in the room are complete — children and infants included: "Record the occupants before checking in". The refusal can be turned off on the property's page, **Details** tab, **At check-in** ("Check-in waits for the occupants’ details") — only for a property that reports its guests another way: Gridbeds builds the schedine from the occupants recorded on the booking, so a stay checked in without them is reported incomplete, or not at all.

On the web, in the booking panel, the occupants section ("Alloggiati police register") has **Add occupant** and says what is missing ("Missing for the register: …"). You need:

| For whom | Details |
| - | - |
| Every guest | Last name, first name, sex, date of birth, **Birth country code**, **Nationality** |
| Anyone born in Italy | **Birth comune code (Italy)** |
| The lead guest | **Document type code**, **Document number**, **Document issue place code** |

The codes are those of the Alloggiati Web tables (states, comuni, document types). The **Guest type (Alloggiati)** is **Automatic**: one guest is 16 — Single guest; otherwise the lead guest is 17 — Head of family and the others 19 — Family member. For a group choose 18 — Head of group and 20 — Group member by hand.

In the **staff app**, check-in collects the same details, with document photos ("Sent to Alloggiati Web (the Questura) after check-in."). What guests enter themselves in the guest portal before arrival is not enough: the desk completes the rest.

## When the card is sent

The card is sent **at check-in** in Gridbeds, automatically, once per booking. So:

* check the guest in in Gridbeds **when they arrive**: that is when the 24 hours (or 6 hours for a short stay) start. A check-in recorded the next day is a late card;
* a guest added **after** the card was accepted is not sent: enter them by hand on the Alloggiati Web portal;
* a stay longer than 30 nights is reported as 30 nights, as the service requires.

## Outcomes and receipts

Cards appear in the **Submissions** list of **Settings → Italy** ("Guest registration (Alloggiati)"); no outcome appears on the booking.

* **Rejected** — Alloggiati rejected the card: fix the guest's details and use **Retry**.
* **Failed** — the card did not get through: Gridbeds retries on its own every 15 minutes. "Alloggiati credentials are not configured for this property" means credentials missing or not verified.
* **Needs review** — the outcome is unknown: check on the Alloggiati Web portal whether the card is there before entering it by hand.

Every morning at 9:00 Gridbeds downloads the day's receipt and keeps it for 5 years, but you cannot download it from the app yet: download it from the Alloggiati Web portal (it stays available for 30 days) and keep it yourself.

## What is left to you

* Identifying every guest in person and checking the document.
* Checking every day, on the portal or in the **Submissions** list, that the day's cards were accepted.
* Entering by hand the cards Gridbeds does not send: guests added after sending, check-ins made before switching on, properties with "Gestione Appartamenti" accounts.
* Deleting document copies as soon as the cards are sent, as the Garante asks: Gridbeds deletes document photos on its own "a few days after arrival".
