# Plans and prices

> What a subscription limits (properties and rooms, never users), the trial, and what happens when a payment fails.

The subscription is managed in **Settings → Subscription** (the **Billing & Subscription** page), by the organization's owner only.

## What a plan limits

A plan limits two things: **the number of properties** and **the number of rooms** (the rooms of all room types added together). Each plan's exact limits are the ones shown on the subscription page.

<Check>
  **There is no user limit.** Invite as many colleagues as you need — front desk, housekeepers, accountant — on any plan. The only limit is at most 10 pending invitations at the same time.
</Check>

<Note>
  The subscription page still shows a "Team members" meter with a limit. That limit is not applied: Gridbeds never refuses a new colleague because of it, and the meter will be removed.
</Note>

When you reach a limit, Gridbeds tells you which: "You have reached the maximum property limit for your plan." or "You have reached the maximum room limit for your plan." Choose a larger plan with **Select Plan**.

Modules your plan does not include appear dimmed in the menu with **Upgrade required** where they matter to the property you are working on (see [Property types](/en/getting-started/property-types#the-menu-follows-the-property)), or open a screen with **Upgrade Plan**.

## The AI assistant

The **AI Assistant** module (suggested replies, see [Messages](/en/messages#suggested-replies)) is the one module whose every use costs money: each suggestion is a paid request to an AI model. So a plan that includes it can cap it each calendar month in up to three ways:

* **requests**: how many suggestions;
* **tokens**: how much text the AI model reads and writes, all suggestions together;
* **a budget in euros**: what the suggestions may cost, from the AI provider's published prices.

A suggestion is only drafted when it fits under every cap your plan sets. Before it is written, the most it could use is set aside (a reply draft sets aside up to about 25,000 tokens, or about €0.30), and once it is written only what it really used is counted, usually well under a cent. Near the end of a cap, the last suggestions of the month may therefore stop a little before the figure is reached. When a cap is reached, no suggestions appear until the next month; replying yourself works as always.

The [staff assistant](/en/assistant) is counted apart: in **questions** a month, one question and its answer counting once however many lookups it takes, so the desk's questions never use up the suggested replies. Professional includes 1,500 questions a month, Business 6,000 and the trial 100. Its questions still count towards the plan's tokens and euro budget, when the plan sets them.

A new account has 30 free days on the trial plan, with one property.

## Failed payment, pause, cancellation

| State | What it means |
| - | - |
| Full access | Everything works. |
| Grace period | 14 days after a failed payment: a banner says the payment could not be processed and features will be limited soon. |
| Read-only | "Account is in read-only mode": you can see your data but not change it. |
| Paused | The subscription is paused. |

From the subscription page you can also **Pause Subscription** or **Cancel Subscription**.
