# Tasks

> Maintenance, inspections and one-off jobs: who does them, by when, and moving them along in one press.

**Tasks** is where the work that is not a room's daily cleaning lives: a dripping shower, an inspection, anything a guest asked for. Each task belongs to a property, has a type (Cleaning, Maintenance, Inspection, Custom), a priority (Urgent, High, Normal, Low), a due date and, usually, the team member it is assigned to. A room's daily cleaning is a housekeeping job instead, planned on [Housekeeping](/en/housekeeping).

Whoever coordinates the work, or works the front desk, sees every task. A housekeeper or a maintenance hand sees only the tasks assigned to them.

## The list

Filter by status, priority, type and assignee, or press **Overdue** and **Due Today**. The property switcher at the top narrows the list to one property. Overdue tasks are highlighted.

Each task has one button for its next step:

| Status | The button |
| - | - |
| **Pending** | **Start** |
| **In Progress** | **Complete** |
| **Completed**, **Cancelled** | none |

The row changes as soon as you press, and goes back if Gridbeds refuses — for example because a colleague completed the task a moment earlier. The message says why. To complete a pending task without starting it, use **Mark Complete** in the row's ⋮ menu.

With permission to manage tasks, the **Assignee** column is a list: pick a team member, or **Unassigned**, and the task is handed over there and then. The new assignee gets a notification. Editing the rest of a task (**Edit**) and deleting it (**Delete**) are in the ⋮ menu.

## Several tasks at once

Tick the tasks you want; a bar appears with how many are selected and:

* **Complete** — completes every selected task that is still open.
* **Reassign to…** — hands them all to one team member, or to **Nobody (unassign)**.
* **Set priority…** — gives them all the same priority.

Reassigning and setting the priority need permission to manage tasks. Each task is checked on its own, so one that cannot be changed does not hold up the others: Gridbeds says how many were done, the ones it refused stay selected, and the message says why — already completed or cancelled, not yours to change, no longer exists, or a housekeeping job, which is changed on the housekeeping plan. Up to 100 tasks at a time.

<Tip>
On a phone the list becomes cards, each with its own button and assignee, and the bar for the selected tasks sits at the bottom of the screen.

## From a template

A template is a task written once — its title, type, priority, duration and checklist — kept in **Task templates**. Press **From template** above the list, or **Create task** on a template in the library:

1. Pick the template, the property and the day (today by default, on the property's clock), and a time if it matters.
2. Pick the rooms: one task is made for each. The buttons above the rooms tick a whole floor at once (the rooms' location). Pick no room for a single task for the property.
3. Whoever sees every task can choose who does them; for a housekeeper or a maintenance hand, the tasks are theirs. The priority comes from the template unless you change it, and a note is added after the template's description.

Before anything is made, the dialog shows what will be: how many tasks, when they are due, the minutes each and in all, and the checklist. A room that already has the same task open on that day is named, and skipped while **Skip these (no duplicate tasks)** stays ticked. Up to 100 rooms at a time. Applying a template is open to everyone who works tasks; adding and editing templates needs permission to manage tasks.

## The team

**Team** (with permission to manage tasks) is the roster tasks are assigned to: cleaners and maintenance staff, who do not need an account. A team member linked to an account sees their own tasks in the staff app.
