Gridbeds is where you run your property: the calendar, bookings, the front desk, the day close, payments, invoices, housekeeping and sales channels. This guide describes the screens as you see them, with the names the buttons carry in the app.

How the app is organised

  • The left menu has the groups Main, Operations, Restaurant, Guests & Marketing, Sales & Distribution, Accounting and Analytics. At the very top is the Gridbeds logo, which takes you back to the dashboard. Right under it is your organization: its logo and name, with your plan underneath (or its initials on a coloured square, until you upload a logo in Settings → Organization). If you belong to several organizations, click it to switch (a small up-and-down arrow on its right shows that it opens a menu); with one there is nothing to open. When the menu is collapsed to icons, the Gridbeds mark and the organization’s logo or initials are shown one under the other, and the name and plan appear when you hover over the organization.
  • The property switcher, under the organization, chooses the properties you are looking at: All properties, one property, several, or a saved group. Tick the properties you want (search by name or city; past twelve properties the list is grouped by city), or pick a group, then press Apply — nothing changes before that. Once you have changed something, Apply says how many properties you will see, for example Apply (3). Clear unticks everything, to build a list from nothing; while nothing is ticked — also after you untick the last property — Apply stays disabled and the switcher says “Tick at least one property or choose All properties.” The way back to every property is All properties. With All properties or a group chosen, every property it covers is shown ticked. Unticking one turns the choice into a list of the others — for a group by rules, a fixed list that no longer follows its rules, and the list says so — and ticking every property is All properties again, which also takes in the ones you add later. Up to 50 properties can be ticked; save a larger set as a group (in an organization with more than 50 properties, unticking one from All properties asks you to save a group instead). Groups are listed for members who may view analytics, each with how many of its properties you can see. Manage groups, at the foot of the list, creates, edits and deletes them: a group of Chosen properties, or a group By rules — city, county, country, status, type or owner — that takes in every property matching all its rules, including the ones you add later, and shows as you write the rules which properties match today. A group keeps how it chooses its members once saved. The calendar, the bookings list, the Today tab, the Overview, housekeeping, channels and the inbox show the properties chosen there; none of them has a property filter of its own. A page that lists one property at a time — invoices, tasks, reviews, the store and allotments — asks you to pick one of them while several are chosen. If a property you chose is deleted or your access to it is taken away, the app says “You no longer have access to …”, drops just that property and keeps the rest; it goes back to all properties only when nothing you chose is left or the group is gone. What you apply is remembered for you in this organization and follows you to another browser or device. The page address carries the choice too, so a link you copy opens the same properties for whoever opens it — without changing what they chose for themselves. The switcher appears only when you have more than one active property.
  • The menu follows the property chosen in the switcher: it shows the modules that property uses — owner statements for an apartment, groups and allotments for a hotel — and, with all properties chosen, those of every property you have. A module an administrator switched off is gone from the menu; one your subscription does not include shows, dimmed, with Upgrade required, where it would be useful. See Property types.
  • In the switcher’s list each property shows its city under its name (past twelve properties the city is the group’s heading), and a group says how many properties it holds, for example “3 properties”. The switcher also appears with a single property for members who may add properties, as the place for Add property — except in an organization that has only restaurants and no property.
  • Restaurants appear in the switcher under their hotel, indented and without a tick: they are not part of the choice (a restaurant follows its property) but a shortcut — a click opens the restaurant. Standalone restaurants, with no property, close the list under Standalone restaurants, marked Unlinked; members with Restaurants — Manage get Link to a property under each, which opens the restaurant’s settings. Restaurants appear only when your plan includes the Restaurants module and you hold a restaurant permission, and only those you may open. In an organization that has only restaurants and no property, the restaurants list takes the switcher’s place: All restaurants opens the list, a restaurant opens that restaurant.
Can’t find a menu or a figure? Check the property chosen in the switcher and your role’s permissions first — the menu and many screens depend on both — then Settings → Modules.
