Add property

Every way of adding a property opens the same wizard, Add property:
  • the Add Property button on the Properties page (and on its empty page, when you have none);
  • Add property at the end of the property switcher’s list, at the top of the left menu;
  • search (Ctrl K / ⌘ K) → Add Property;
  • the last sign-up step, Your first property, which shows the wizard inside the welcome steps.
Only members who can manage properties (the owner and administrators) see it. The wizard first asks How do you want to start? — Start from scratch, Import from a channel or, once you have a property, Copy an existing property (see below).
1

Basics

Property name, Type, Address and City. The types are grouped by kind: Short-term rentals (apartment, house, villa, studio, room, cottage, cabin, chalet, farmhouse, boat), where guests book the whole place; Guesthouses & B&Bs (guest house, bed & breakfast, inn, lodge, camping, other) and Hotels (hotel, motel, resort, aparthotel, hostel), where guests book rooms. In the welcome steps the wizard offers only the kinds of what you chose under What do you run? — Apartments & houses brings the short-term rentals, Guesthouse / B&B the guesthouses, Hotel or motel the hotels — and starts on the first type of them; from the dashboard it offers every type. The property is created in your organization’s country and currency, with the settings of its kind — see Property types.
2

Rooms and price

For a single unit: Price per night and Guests. For a property with rooms: Number of rooms, Price per room per night and Guests per room — Gridbeds creates one room type, Standard room, with that many numbered rooms; you add other room types on the property’s page. Tick I’ll set prices later to skip this step; the property can’t take bookings until it has a price.
3

Review

Check what will be created and click Create property.
The price you type becomes the price of the room type’s standard rate plan, so the property can be quoted as soon as it exists.
The wizard shows how many properties your plan includes (“2 of 3 properties on your plan”). When they are all in use it says so on its first screen, with See plans, and creates nothing — see Plans and prices.

Import from a channel

If the property already sells on Airbnb or Booking.com, Import from a channel reads it through the channel manager and shows you what will be created before anything is:
1

Channel

From Airbnb — a listing of an Airbnb account already connected to one of your properties; or From Booking.com — a hotel’s rooms and rates, by its hotel ID. Another channel (Expedia, Vrbo and the rest) cannot be read: the channel manager only sends them prices and availability, so start from scratch and connect the channel afterwards.
2

Listing

For Airbnb, choose the listing; one already imported shows Already imported as and can’t be chosen again. For Booking.com, enter the Booking.com hotel ID from your extranet, where the channel manager must be set as the hotel’s connectivity provider.
3

Preview

Check and change the name, type, address and each room type’s name, Number of rooms, price and guests. Airbnb gives the name, address, guests, price, check-in and check-out times and stay limits; Booking.com gives only its rooms and rates, so you add the rest. Not imported lists what stays behind (photos, amenities, reservations and the channel connection). Then Create property; what the channel doesn’t give starts with the settings of the property’s kind.
An import only reads: nothing changes on Airbnb or Booking.com. Connect the new property from its Channels tab when it is ready. Importing the same listing again opens the property it already became instead of making a second one.

Copy an existing property

For a property like one you already have — another flat in the same building, a second hotel — choose Copy an existing property:
1

Source

The Property to copy, then the copy’s own Property name, Address and City. Gridbeds proposes “name (copy)” and the source’s address; change them, because a copy is another property.
2

What to copy

Tick what the copy takes: Rooms (room types, with their units under new names), Rates (rate plans with their stay rules, included extras and the prices of extra adults and of children by age band, the plans that follow another’s price, and seasonal prices — only together with Rooms), Fixed charges, Policies (check-in and check-out times, stay limits, house rules, fees and deposits), Tourist tax (keep it only if the copy is in the same municipality), Amenities, Housekeeping (how occupied rooms are serviced, the sections and cleaning credits), Photos and Legal entity. Photos and Legal entity are off unless you tick them. The type, capacity and description always come along; what you leave unticked starts with the settings of the copy’s kind, as a new property’s would.
3

Review

Check and click Create property.
A copy with Rates quotes the same prices as its source. Without Rates, each room type gets its standard rate plan at the room type’s price.
A copy never takes bookings, guests, invoices, channel connections, the website, compliance credentials (Alloggiati, ANAF), the CIN or the calendar’s prices and closures for specific dates. Connect its channels and set up its compliance on its own page.

A new property is a draft

A property always starts as a Draft; you activate it when it is ready to take bookings. The wizard ends with Complete setup, which opens the property at its Profile completion checklist: Basic info, Location, Capacity, Pricing, Photos and Description. When every step is ticked, click Activate property. You don’t have to finish in one go. A draft’s card on the Properties page shows Complete setup, from any device, until it is activated. Every card on the Properties page shows the property’s starting price: from the lowest price among its active room types, /night, in that room type’s currency. While no active room type has a price, the card says No rate set.

The property’s page

A property’s page has the tabs Details, Room types, Pricing, Fixed charges, Channels, Photos and Payments. Opening a property’s page takes Properties — View; changing it — its details, photos, logo, amenities, transfer stations and status, or activating a draft — takes Properties — Manage. A role with View alone, such as Reception, sees the page without the edit controls. A role without View, such as Accountant, cannot open it, and still picks a property wherever its own screens filter by one.
1

Details

The name, type, address, and check-in and check-out times.
2

Room types

Add each room type and how many rooms it has.
3

Rate plans

On each room type, Rate plans → Add rate plan: name, Base price, meal plan (None, Breakfast, Half board, Full board, All inclusive), minimum and maximum stay, payment policy and cancellation terms. Mark one with Set as default rate plan and leave it Active (bookable).
4

Payments

Set up a payment provider — see Payments.
A rate plan’s cancellation terms inform the guest and decide what is kept when a stay ends early; Gridbeds charges nothing automatically from them.
The settings each property type gets are in Property types. Rooms, rate plans and daily prices are covered in full in Rooms and room types and Rates and availability.
