Open Calendar from the Main group of the menu. It updates live: a booking made at the desk, by a guest or by a channel, a room blocked, or a change of availability shows up without reloading.

The views

In the toolbar: Today, the arrows for the previous and next period, a date picker and the Display menu (Occupancy, Revenue). Shortcuts: Alt+N (⌥N on a Mac) new booking, Alt+T (⌥T) today (both also work from any other screen — see Search), Ctrl/⌘+B block dates, Ctrl/⌘+← and Ctrl/⌘+→ previous and next period. The calendar loads up to 10,000 bookings for the period on screen. A period with more than that — a month across many busy properties — says so above the grid, because some bookings are then missing from it (the occupancy still counts them all), and offers Show one week (or Show one day) and Show one property to narrow it. If the calendar cannot load at all, Try Again reloads it.

Which property the calendar shows

The calendar shows exactly the property chosen in the switcher on the left, or every property when the switcher reads “All properties”. When you change the switcher, the calendar follows it: it has no property filter of its own, so it can never show a different property from the one you think you are working on. A link like /calendar?property=… (for example from the Today tab) moves the switcher itself to that property. The Rates view always works on a single property: the one in the switcher. Only while the switcher names several properties does it show a property picker of its own, which leaves the switcher as it is. To compare properties, use the comparison on the Dashboard.

Free days and creating a booking

In the Month and Week views, clicking a day opens New booking (PMS) with the arrival date and the property filled in. You need permission to manage bookings. Each day in the Month view shows its occupancy (green from 80%, amber below 50%) and room revenue, and +N tells you how many bookings did not fit in the cell. The figure is room revenue: what the day’s nights earn without VAT, from confirmed, checked-in and checked-out stays only. Each stay’s room revenue is spread evenly over its nights. It is the same figure the dashboard’s Channel mix (by stay date) and On the books give for the same night and the same properties, worked out the same way. Options and pending requests are not revenue yet. A day that has any shows them separately, after the figure, in a dashed outline, for example +RON 450; hovering over it says how much is in options and pending requests. They are never added to the room revenue. Cancelled bookings and no-shows count nowhere. The room revenue is in your organization’s currency, for example RON 1.1K. A booking made in another currency counts at the exchange rate it was given when it was made, the same rate the dashboard uses. A booking still waiting for its exchange rate is never added to the others: the day shows 2 currencies in amber instead, and hovering over it lists the total in each currency. Occupancy — on each day and in the toolbar for the whole period — is the rooms sold out of the rooms for sale, the same figure the Dashboard gives for the same night. Rooms closed by a block are left out rather than counted as sold, and a day on which every property shown is closed has no percentage. How many rooms are free each day is on the availability card of the dashboard’s Today tab: “{free} of {total} rooms free”, Sold out or Blocked. For a single property, each day of the card’s month prints its free rooms (“8 free”) or Full, a blocked day is marked as blocked, and days gone by carry no figure; today is ringed, and it is the property’s operating day — its business date once it has closed a day — not your computer’s. There you can pick a stay (one click on the arrival, another on the departure) and click New booking, Block or Open in calendar.

Changing a booking from the calendar

In the Month, Week and Day views, right-click (or ⋮) on a booking opens Booking actions: View Details, Check-in, Check-out, Extend stay (see Extending a stay), Copy booking ID and Cancel booking. Details open in the booking’s side panel — see Bookings. A check-in refused from this menu says why — a room still to assign, an arrival date not reached.

Moving and resizing a stay

In the Timeline a stay can be moved to other dates, to another room, or both at once:
  • Drag the bar sideways to move the dates, up or down to change the room, or diagonally for both. Dropping a bar from the Unassigned row on a room assigns that room.
  • Drag the left or right edge to change the arrival or the departure.
  • With the keyboard: select the bar with Tab, press Space to pick it up, the left and right arrows to move it a day, the up and down arrows to change the room, Shift with the left or right arrow to change the departure, then Space or Enter to drop it. Escape puts it back.
  • From the menu: right-click the bar and choose Move or change dates… to type the new dates and pick the room.
Nothing is saved when you drop. Move the stay shows the stay now and after the change, the current total, the new total and the difference, and anything that stops or needs a decision:
  • This move is not possible — the room is taken, blocked or out of service, there is no room of the type left on the added nights, the arrival would be before today, the guest has already checked in (then only the room and the departure can change; a departure today is a Check-out), or the stay is over or cancelled. When a room is the reason, the free rooms of the type for those dates are offered with Move to room … instead.
  • The stay’s rate plan does not allow this — a night closed to sale, a day closed to arrival or departure, or a minimum or maximum stay. Tick Move anyway to go ahead; your name is saved in the booking’s history.
  • The channel will not be told — for a booking that came from a channel (Booking.com, Airbnb…). The channel is not updated, and its next update may put the old dates back: change the booking at the channel too, then tick I understand that the channel will not be told.
  • Price after the move — when the room type changes and the new type sells the same rate plan, choose Keep the price (the default for an upgrade) or Apply the new room type’s price (the default for a cheaper room).
Move the stay saves the room and the dates in one step, priced as described in Changing dates. Cancel puts the bar back. If someone changed the stay a moment earlier, the dialog shows what the move would do now instead of saving. Changing the dates or the room type needs permission to manage bookings; moving a stay to another room of the same type only needs access to bookings.

Blocking a period

Ctrl/⌘+B or Block opens Block period: choose the reason (Maintenance, Personal use, Owner use, Renovation, Other) and, if you want, Sync with distribution channels. A blocked day is hatched, with a lock. To unblock it, click it and choose Unblock day. Clicking a blocked day opens its details: the rooms free out of the rooms of every property shown and, when the calendar shows more than one property, a row per property with its availability, its Price per night — in that property’s own currency, never added to another’s — and its Minimum stay. The day’s bookings follow, each with the property it is at.

Colours and filters

The Filter bar hides or shows statuses; in the Timeline, filtered bookings are dimmed. Cancelled stays and no-shows appear only when you switch them on. The Sources filter picks channels (Direct, OTAs, Channel Managers, Other).
