Settings → Accounting (the Fiscal & Compliance group, the Accounting Integration page) connects Gridbeds to the company’s accounting software. The page needs permission to manage accounting. At the top, Connection Status shows Connected, Not configured or Enabled — configuration incomplete for each program, and the last sync. The tabs: WinMentor, Saga, Automation and GL Accounts. What was sent and what failed is shown in Accounting and reports.
Coming soon: actually delivering to WinMentor and Saga. The screens can be filled in, but today no document reaches your accounting software: the WinMentor Bridge service does not yet write invoices into WinMentor, and the Saga export puts its files on Gridbeds’s server, where you cannot download them. Meanwhile, your accountant takes the sales invoices from SPV (Gridbeds submits them to ANAF — see e-Factura) or from the PDFs under Invoices, as before.

WinMentor

WinMentor receives documents through a service that runs on the computer with WinMentor: WinMentor Bridge (Windows Server 2019 or newer, .NET 8, WinMentor with the DOC-IMP-SERVER import server). Whoever looks after the company’s computers installs it, together with the Gridbeds team. On the WinMentor tab (WinMentor Configuration):
  • Enable WinMentor Integration;
  • Bridge API URL — the service’s address; it may not contain a user name and password;
  • API Key — the secret key agreed with the service;
  • Company Code — your company’s code in WinMentor;
  • Default Invoice Series — FACT, for example;
  • Save Configuration, then Test Connection (the test checks the saved configuration).
If you change the service’s address without re-entering the key, the stored key is removed and the link is broken.

Saga

On the Saga tab (Saga Configuration), Enable Saga Integration and the Integration Mode:
  • File-based — one XML file per invoice, in the Export Folder Path (and Import Folder Path). The paths are on Gridbeds’s server, not on your computer — which is why the mode is not usable yet (see above). Storno documents are not exported;
  • API-based — “API mode will be available when Saga releases their public API”.

Automation

The Automation tab (“Automation will only work when at least one accounting provider (WinMentor or Saga) is enabled and configured”): Enable Automatic Synchronization and the events: Daily accounting sync: Enable the daily sync and Sync time. The time is the organization’s (Romanian time by default), although the screen says “server timezone”. The daily sync does not close the operating day — see Day close.

GL Accounts

GL Accounts maps revenue, receipts and VAT to accounts of the Romanian chart of accounts (OMFP 1802/2014). The defaults: Under Revenue — F&B & Other the screen suggests: cooked food in 701 (sub-account 7015), drinks and resold goods in 707, tips in 462 or 4281 (a liability to staff, not revenue), the tourist tax in 446; an empty field inherits the additional-services account. An account is written with digits and dots only. Reset to Defaults goes back to the standard chart; Save Mapping saves it.

SAF-T (D406)

The SAF-T export of sales invoices (for admins of a Romanian organization only) is described in Obligations in Romania.

VAT on collection report

A legal entity on the ANAF register of VAT on collection (“TVA la încasare”, Codul fiscal art. 282) owes VAT as the money comes in, not when the invoice is issued. Invoices → Exports → VAT on collection (TVA la încasare) prepares the figures for the VAT return (D300) and the sales journal. It needs permission to view accounting, and it is offered for an organization that operates in Romania; where no Romanian legal entity is on the register, the entry is disabled and says why.
  1. Pick the Legal entity when there are several: each one files its own return.
  2. Pick the Period: a Month (last month by default), a Quarter for quarterly filers, or a Custom range of at most a year.
  3. The preview shows, per VAT rate, the base and the VAT that fell due, how much of it comes from invoices of earlier periods, and the VAT not yet due carried forward; then the VAT not yet due (account 4428) at the start and at the end of the period, and the check start + VAT on invoices issued − VAT that fell due = end ✓.
  4. Choose the File — Spreadsheet (XLSX) by default, CSV or PDF — and Download.
Each invoice keeps the rate it was issued at: an invoice issued at 19% and collected after the rate changed is still reported at 19%. A partial collection makes a proportional part of the VAT due. A credit note reduces the VAT not yet due on the day it is issued. Invoices in another currency are reported in lei at their own exchange rate. The spreadsheet has four sheets: the summary by rate, the VAT that fell due (one row per collection and rate, with the collection document), the invoices still open at the end of the period, and the operations outside the regime (reverse charge, exempt, issued before entering the register). An empty period can still be downloaded: nil periods are filed too.
The D300 rows written in the file are hints. Confirm them, and the columns, with your accountant before you file.
Each download is recorded in the activity log, with the entity, the period, the file type and who downloaded it.

Owners under a mandate

If you manage apartments under a mandate contract, in Settings → Property owners, the owner’s fiscal-issuer section lets the invoices to guests for that owner’s properties be issued under the owner’s tax ID. The owner must first notify ANAF (art. 319 of the Fiscal Code) at least one calendar month in advance; enter the notification date, then enable the owner as issuer. Owner statements are described in Accounting and reports.
