This page gathers the obligations a property management system touches for a property in Italy. For each one: what Gridbeds does today, what it does not, and what you have to do meanwhile. Where Gridbeds does not cover an obligation, the page says so plainly: the obligation stays yours.

First: the property has to be in Italy

Gridbeds picks the rules from the country of:
  • the organization, chosen at sign-up (“Where is your business based?”); it locks once the first invoice is issued;
  • each property, which takes the organization’s country when created;
  • each legal entity that issues invoices (Settings → Legal entities, field Country: IT).
An invoice goes to SDI when its issuer is Italian; guest cards go when the property is in Italy. If the property’s country and the issuer’s differ, the transmission is skipped.

Where it is set up

In Settings, group Fiscal & Compliance (you need permission to manage accounting):
  • Legal entities — who issues invoices: legal name, VAT number, address, IBAN, Tax regime (FatturaPA) and the Invoice Provider (choose Gridbeds (issued here)).
  • Italy (“Italy compliance”) — appears when the organization or at least one property is in Italy. Per property: CIN (national ID), ISTAT system, ISTAT comune code, Levies a tourist tax and the tax rules; the Compliance credentials (Alloggiati Web); the Submissions list of recent transmissions.
  • Tourist tax — per-comune rules for every property of the organization.
Transmissions to SDI and Alloggiati Web are switched on by Gridbeds for each organization. Until they are on for yours, nothing is sent and nothing appears under Submissions, not even an error. Before relying on automatic sending, ask support to confirm your organization is switched on, and check the first transmission in the Submissions list. An invoice issued before then is sent later from the Invoices list with Transmit to Authority; a guest card for a check-in made before then has to be entered by hand on the Alloggiati Web portal.

The Submissions list

Settings → Italy → Submissions (“Recent transmissions to the Italian authorities”) shows the last 100 transmissions of every kind: invoices to SDI, Alloggiati cards, ISTAT filings. Each row shows the type, the status and any error. The row does not say which invoice or booking it belongs to: for an invoice, check the SDI status on the invoice itself. Retry resends a failed row. Gridbeds refuses to resend when it could file the same document twice:
  • “This submission is already in progress — resending it now could file it twice.”
  • “This submission has already cleared with the authority — there is nothing left to resend.”
  • “This submission is awaiting reconciliation with the authority and cannot be resent yet.” — the outcome is unknown. For an invoice, Gridbeds is asking SDI’s intermediary what it holds and settles the row on its own: wait for it. For a guest card, check on the Alloggiati Web portal whether it is there before doing anything, and contact support.
  • “This invoice is already issued — SDI just could not deliver it to the client. Send them a copy instead of sending it again.” — the invoice is Issued, not delivered, and its row says so: “SDI issued this invoice but could not deliver it to the client. They find it in their cassetto fiscale — send them a copy.” See Electronic invoicing and SDI.

Privacy and guests’ documents

The Italian data protection authority (Garante) reminded operators on 29 April 2026 that copies of guests’ identity documents must be deleted as soon as the cards have been sent to Alloggiati Web; only the receipt is kept. Gridbeds deletes the document photos taken at check-in on its own, but only a few days after arrival: to follow the Garante, do not photograph documents you do not need, and remove the photos once the cards are sent.

Sources

This guide explains what Gridbeds does; it does not replace your accountant or your comune’s and region’s instructions, which remain the source for amounts, deadlines and local forms.
